What's the Difference Between Inviting Co-Authors with Prompt Credentials and Those Without? How Do They Log In?

When inviting co-authors to collaborate on a document in Prompt, there are two different scenarios depending on whether the invitee has an existing Prompt account or not. Below is a breakdown of the process for both types of invitees and how they log in.

Inviting a Co-Author Without Prompt Credentials

  1. Navigate to the Drafting Tool and click on Manage Co-Authors.
  2. Enter the email address of the person who is not registered in Prompt. Click on Invite.
  3. The invitee will be placed on the list to accept the invitation. The Document Author can choose to Revoke or Resend Link to the invited Co-Author.
  4. The invited co-author will receive an email with a link to accept the invitation.
  5. Clicking the link will open a window asking for their Full Name, Organisation, and Position.
  6. Once these details are confirmed, the co-author gains access to the drafting tool and can now work on the document.
  7. Click Save & Exit when done.
  8. To return to the document, the co-author needs to click the invitation link again from their email.

Inviting a Co-Author with Existing Prompt Credentials

  1. Navigate to the Drafting Tool and click on Manage Co-Authors.
  2. Enter the email address of a user who already has a Prompt account then click Invite or click Search Users, enter the email address or username, or just pick a user from the list. Click on Invite Selected User.
  3. The invitee will be placed on the list to accept the invitation. The Document Author can choose to Revoke, Resend Link, or Reassign Document Author.
  4. The invited co-author will receive an email with a link to accept the invitation.
  5. When the invited co-author clicks the link, Prompt will recognise their registered email and prompt them to log in.
  6. Once logged in, the invited co-author must click the invitation link again from the email to access the drafting tool.
The document author can verify co-author access by checking the Manage Co-Authors section.
